Ballentine Pointe Homeowners Association, Inc. (“the HOA,” “we”) operates this website for the residents, owners, vendors, and visitors of Ballentine Pointe. This page explains what information the site collects and how it is used.

Information you give us

When you sign in, register, use the resident portal, submit a form, contact the board, or subscribe to our email list, we collect the information you provide, such as your name, email address, property address, and phone number. We use it to operate the community website, verify residency, manage pool and amenity access, send HOA notices, and respond to you. We do not sell this information.

Website statistics

To understand which pages are useful, we count visits to the public pages of this site. For each page view we record only the page visited, the date, the website that referred you (if any), and your approximate country and region. Your approximate location is derived from your IP address using the GeoLite2 database created by MaxMind; your IP address itself is not stored with these statistics. Activity in the administrative area is not counted, and we make a best effort to leave out search-engine crawlers and other automated traffic by recognizing them from the browser identification string (user agent) they send, so these figures are approximate. Statistics are retained for up to two years.

Cookies

The site uses cookies that are necessary for it to work, such as the cookies that keep you signed in and protect forms against forgery. In addition, to count how many different people visit (rather than only how many pages are viewed), we use an optional analytics cookie, analytics_vid, which holds a random identifier. We store only a one-way daily hash of it, which is deleted after two days, so we cannot follow you from one day to the next or identify you.

If you are visiting from a region where consent is required (for example the European Union, the United Kingdom or Switzerland), or we cannot determine your location, we ask for your permission through a banner before setting this cookie. Your choice is remembered in a second cookie, analytics_consent. Page views are still counted in aggregate if you decline, but without the visitor cookie. You can also block or delete cookies in your browser settings.

Service providers

The site is hosted and maintained by Peach State Technologies, which has full access to and control of the site’s database and the data stored in it, including the personal information described above. Transactional emails (such as account and notification messages) are sent using the email services of Newfold Digital, Inc. We also use other trusted providers to operate community services (for example Mailchimp for email newsletters, Cloudflare for file storage, and Cloudflare Turnstile for spam protection on forms). These providers process information only to provide those services to us. We also use Vantaca, provided by Community Management Associates (CMA), for community management, and Alta Access by Avigilon Alta, provided by Critical Edge, for amenity access. CMA and Critical Edge have access to the data stored in those specific systems.

Disclosure

We share personal information only as needed to run the community, when required by law, or to protect the rights and safety of the HOA and its residents.

Security and retention

We use reasonable safeguards to protect your information and keep it only as long as needed for HOA business or as the law requires.

Your choices

You may ask to see, correct, or delete the personal information we hold about you, or unsubscribe from email at any time using the link in our messages. This site is intended for adults and is not directed at children.

Changes

We may update this policy; the date above shows the latest revision.
